Access Den Appointment Cancellation and No-Show Policy

At Access Den, we value your time and the dedication of our team. To keep our services fair and accessible for everyone, we require advance notice for all appointment cancellations or changes. This ensures we can offer your appointment time to another client in need.

Cancellation and Rescheduling

If you need to cancel or reschedule an appointment, you must provide at least 24 hours’ notice before your scheduled time.

More than 24 hours’ notice: No charge.

Less than 24 hours’ notice (Late Cancellation): 50% of the session fee will be charged.

No-Call / No-Show Policy

A no-call / no-show occurs when a client does not attend a scheduled appointment and does not contact us in advance to cancel or reschedule.

First occurrence: You will be charged 100% of the session fee.

Repeated occurrences: Future scheduling may be suspended or terminated.

This policy applies equally to therapy sessions, supervision sessions, and all other appointments.

Emergency Exceptions

We understand that emergencies happen. Exceptions may be made at management’s discretion for genuine emergencies such as illness, medical emergencies, or family crises. Documentation may be required.

If approved, late cancellation or no-show fees may be waived.

Prepaid Packages and Programs

If you have prepaid for a session package, the same cancellation and no-show policy applies.

Late cancellations or no-call / no-shows will result in the session being deducted from your package balance.

Refunds for unused portions of prepaid packages are available only if cancelled at least 14 days before the package expires, subject to a 30% processing fee.

Professional and Ethical Standards

Repeated late cancellations or no-call / no-shows disrupt care and may result in:

Limited booking privileges, Removal from active client status,

Referral to another provider

By booking with Access Den, you agree to these terms as part of our professional service agreement.
